§ 01
Your team wants to use AI. Then someone has to run it.
Someone on your team has found an AI tool they want to use at work. Then the questions start.
Where does it run, and who sets it up? Who keeps it working? And when it stops on a busy morning, who do you call?
You want the tool to work, and you don't want to learn about servers to get there.
AI Admin Panel is a control panel for providers who run AI apps for businesses like yours. Your provider looks after the servers and the apps. Your team signs in and uses them.
§ 02
What your team gets
You want your team to open the app and start working.
Their own sign-in. Your provider invites each person by email. After that, they sign in and open the apps your business uses.
The apps you choose. Your provider sets up the AI apps you agree on. That might be a chat app for your team, an AI agent or a workflow tool. What an app can do for your business depends on the app and how it is set up.
One place to see what's running. Your company's portal shows your apps, whether each one is running and what your plan includes.
Your provider
- prepares the app
- invites your team
- helps
Your team
- signs in
- uses it
- manages the settings allowed
Note
Some apps also ask for their own login after the first sign-in. Your provider decides which details your portal shows.
§ 03
You decide who has access, with your provider
You want to know who can see your company's data, and to change it when you need to.
Everyone on your team gets their own sign-in to the portal, so nobody shares one.
You decide with your provider who on your team gets access. When people join or leave, tell your provider, and they update who has access.
Each person can protect their sign-in with a second step, using an authenticator app on their phone.
The panel keeps a record of who did what in your account. Ask your provider to show it to you.
Note
Inside each app, that app's own settings also decide who sees what.
§ 04
Where your data and AI requests go
Before anyone puts a real business document into an AI app, you want to know where it goes.
Your apps and their data run on your provider's servers. Some things leave those servers, and you should know which ones.
| AI requests | If an app uses an outside AI service, it sends your requests to that service, with whatever you put in them. |
|---|---|
| Backups, emails and notifications | These can go through outside services that your provider sets up. |
| The panel and the apps | The panel contacts outside services too, for example for licence checks and updates. Each app can also make its own connections, like any software. |
| Your choices on AI | Ask your provider which AI service each app uses. For apps that support it, there can be a choice. A local AI model on your provider's server keeps those requests there. Some providers also let you use your own account with an AI service. Others give you AI access with a monthly budget, and you follow the spend in your portal. |
Note
Other apps get their AI service set up separately, and a local model's speed depends on your provider's hardware. Your agreement with your provider should say where your data is kept.
§ 05
When something stops
It's a busy morning, and the app your team relies on won't open. Who do you call?
Check its status first.
Your portal shows whether the app is running.
Restart it, if you can.
If your provider has switched this on, you can restart the app from your portal.
Then call your provider.
They run the server and the app, so they can see more than your portal shows.
Note
Support hours, response times and price are your provider's terms. Agree them before you start.
§ 06
Questions people ask
Do I need to run a server?
No. Your provider runs the servers and the apps. Your team signs in and uses them.
Will it do our accounting or sales for us?
No. AI Admin Panel is the control panel your provider uses to run the apps. What an AI app can do for your business depends on the app and how it is set up. Try it on real work before you rely on it.
Does private mean nothing leaves the server?
No. Your apps and their data run on your provider's servers, and some things still leave them. The main one is AI: if an app uses an outside AI service, your requests go there. Ask your provider which AI service each app uses.
Who supports it, and what does it cost?
Your provider. Support hours, response times and price are their terms, so ask for them before you start.
Can we run it ourselves?
Yes, if you have IT staff who already run Linux servers. They install it on your own server and look after it, including updates and backups. Public install opens soon. The free edition covers up to three customers and five services.
